Full reading of Annex IV and translation of each point into deliverables: general description of the system and its intended purpose, development elements and methods used, architecture and computing resources, data and their provenance, design specifications, human oversight measures, expected performance and metrics, risk management measures, modifications made during the lifecycle, harmonized standards applied or alternative solutions adopted. Where to find each piece of evidence in existing sources: code repositories, model registry, training logs, dataset datasheets, tickets, review minutes. Automatic logging (Art. 12): which events to record to enable monitoring of operation, identification of risk situations, and post-market surveillance, without turning logs into disproportionate data collection. Retention period for logs and document-keeping obligations. Draft the instructions for use intended for the deployer (Art. 13): supplier identity, characteristics and performance limits, intended conditions of use, reasonably foreseeable misuse, human oversight measures, maintenance needs, expected lifetime. Write only what is verifiable: any performance claim becomes an enforceable requirement. Practical work on a real anonymized file.
Prepare the EU declaration of conformity: required content, signatory, liability, retention. Affix the CE marking and reference it in the documentation. Register the system in the EU database and handle cases under Annex III where a classification derogation has been applied. Keep the file up to date: model versions, retraining, dataset changes, purpose evolution, and the threshold for a substantial modification that triggers re-assessment. Capstone case: produce the complete table of contents for a system’s file, its declaration, and its document-maintenance plan.
