In that context, scheduling is no secondary administrative topic: it directly drives service quality, team wellbeing and profitability. Hence the decision to professionalize that skill in-house rather than absorb it reactively.

The challenge

The challenge

On the ground, rosters were often built in spreadsheets, store by store, heavily dependent on whoever maintained them. The result: templates rebuilt from scratch every week, mistakes on rest periods, and real difficulty anticipating absences or activity peaks.

The slightest surprise β€” a sick day, a delayed delivery, an unexpected rush β€” was handled in a hurry, at the cost of unplanned overtime and friction within the team. The schedule was absorbing the workload instead of steering it.

Biocoop therefore wanted to upskill a lead able to lay down a method: build reusable templates, secure labor-law compliance, anticipate the workload and tool the whole thing β€” then roll those practices out to other managers across the network.

Learni designed a one-to-one four-day track, calibrated to Biocoop's real cases: opening hours, checkout/floor versatility, rest and split-shift constraints, seasonality. The learner didn't work on generic examples but on their own rosters, reworked step by step.

The trainer β€” a hands-on practitioner of team scheduling in retail and multi-site environments β€” structured the course around a single thread: start from an existing roster, audit it, then rebuild it cleanly β€” annualized template, rotation cycles, compliance rules, tracking indicators.

By the end of the four days, the learner had: a reusable roster template, a compliance checklist (working time, rest, split shifts), a playbook for handling absences and replacements, and a simple dashboard to steer coverage rate and overtime.
